DOJGE BOARD OF DIRECTORS DUTIES

This is a brief list of some of the duties & responsibilities of each Board position. In

addition to these specific duties and responsibilities, individuals wishing to

participate on the Del Oro Jr. Golden Eagles Board of Directors need to be aware of

the activities and time commitment involved in supporting the organization. The

following service commitments are required of all Board members:

  • Monthly Board meetings (12)
  • Annual Registrations (3)
  • Fundraising Event (1)
  • Home Games (4)
  • Jamboree and/or Playoff Game
  • Cheer Events
  • In season Nightly Practice
  • Coaches (Football/Cheer) Clinics
  • Must have Live Scan Clearance

Section 3. President

a. Shall only vote as the deciding vote in tie-breaking situations.
b. Granted discretionary and executive powers to execute and carry out the policies of DOJGE and to act in the best interest of the children registered in DOJGE.
c. Reports to the Board of Directors.
d. Administers these by-laws and all rules and regulations of DOJGE and SAC.
e. Presides over all meetings.
f. Ex-officio member of all committees.
g. Appoint and oversee committees.
h. Promote and represent DOJGE at all functions.
i. Oversees daily administration of DOJGE.
j. Co-signatory on all DOJGE bank accounts.
k. Executes all contracts on behalf of DOJGE.
l. Write and send welcome letter to associations for all home games.
m. Act as liaison to SAC and attend all SAC meetings and functions or send a designated representative
n. Responsible for weekly newsletter during the season.
o. Other duties as pertain to the office of President or as directed by the Board.


Section 4. Vice President of Football

a. Assist and advise the President on all matters relating to the operations of DOJGE Football.
b. Reports to the President of the Board.
c. Oversees daily Football operations of DOJGE.
d. Co-signatory on all DOJGE bank accounts.
e. Assure by-laws, rules and regulations are followed.
f. Acts on behalf of the President in his/her absence.
g. Recruit & manage all football operations.
h. Coordinate coach training and special clinics.
i. Responsible for selecting and overseeing the advisory committee or advisor for the Scholar Athlete Program and the Athletic Scholarship award.
j. Other duties as pertain to the office of Vice-President of Football or as directed by the Board.
 
 
Section 5. Vice President of Cheer

a. Assist and advise the President on all matters relating to the operations of DOJGE Cheer.
b. Oversee all aspects of the Cheer Program.
c. Attend all DOJGE Board meetings, SAC President's meeting, Cheer Coordinator's meetings & SAC Book Certification meeting.
d. Recruit, manage & oversee all Cheer coaching & coordinator positions.
e. Facilitate marketing & publicity of the DOJGE Cheer program by displaying banners around town & at local feeder schools and publishing & producing a recruiting flyer to be posted around town & distributed in conjunction with the Loomis Union School District to the feeder schools.
f. Coordinate & work in conjunction with DOHS Cheer Program to hold an annual Cheer Try-Out/Skills Assessment Clinic in the spring, prior to registration for the season, and simultaneously hold a Cheer Informational Meeting for parents interested in the DOJGE Cheer Program.
g. Coordinate & delegate the Uniform Exchange Program with the Cheer Equipment Coordinator.
h. Organize & coordinate other Cheer/Tumbling clinics & camps as needed.
i. Organize & coordinate written & verbal communication with Cheer parents & coaches regarding practices, games & competitions.
j. Work with the Records Administrator to ensure that all Cheer participants are properly registered and certified.
k. Oversee & manage the ordering, distribution of Cheer uniforms, Spirit Packs & other miscellaneous cheer supplies.
l. Attend all games & practices or have a Coordinator present at all games & practices.
m. Have a working knowledge of Cheer etiquette & SAC Cheer rules & regulations.
n. Keep the President & Board apprised of all Cheer activities.
o. Provide the Board a budget for proposed Cheer expenses & fill out all proper forms for reimbursement.
p. Serve as liaison with the SAC League & the DOJGE Board, Cheer Parents, Cheer Coaches, Instructors & Del Oro High School Cheer Program.
q. Secure practice and game fields/facilities.
r. Assure all SAC and DOJGE Cheer rules and regulations are followed.
s. Other duties as pertains to the office of Vice President of Cheer or as directed by the Board.
 
Section 6. Secretary

a. Records and maintains minutes of all meetings of DOJGE.
b. Responsible for contacting Board members prior to a scheduled meeting to verify place and time.
c. Conducts general correspondence as directed by the President or the Board.
d. Prepare agenda for Board meetings.
e. Distribute minutes of Board meetings.
f. Maintain archive of records.
g. Co-signatory on DOJGE bank accounts.
h. Assist/complete the ordering of the year-end trophies and awards.
i. Provides iPOD, CD’s and National Anthem for Home games.
j. Assure all SAC and DOJGE rules and regulations are followed.
k. Acts on behalf of treasurer in his/her absence.
l. Other duties as pertain to the office of the Secretary or as directed by the Board.

Section 7. Treasurer

a. Custodian of funds for DOJGE.
b. Receive all monies and distribute all funds and business transactions of the Corporation and Association.
c. Develop annual budget for approval of the Board.
d. Assure SAC and DOJGE rules and regulations are followed.
e. Create financial statements for all events.
f. Present monthly financial statements to the Board.
g. Present annual financial statement to the Board and distribute at general meeting.
h. Maintain financial record to be presented to members upon request.
i. Co-signatory on all DOJGE bank accounts.
j. File all tax related documents.
k. Maintain insurance on behalf of the Corporation and Association.
l. Acts on behalf of Secretary in his/her absence.
m. Other duties as pertain to the office of Treasurer or as directed by the Board.
 
Section 8. Coach Coordinator

a. Assist and advise the Board on all matters relating to football coaches.
b. Assure SAC and DOJGE rules and regulations are followed.
c. Oversees coaches, coaching staff and weigh masters and assist and advise as needed.
d. Oversees all aspects of the football program including selection of head and assistant coaches.
e. Collect all coach’s applications, insurance release of liability forms, and coordinates the administration of the coaches badges.
f. Assists in scheduling the background checks/Live scan for all coaches.
g. Hold pre-season PAR training.
h. Other duties as pertain to the office of Coach Coordinator or as directed by the Board.
 
Section 9. Snack Bar Coordinator

a. Assist and advise the Board on all matters relating to the snack bar.
b. Supervise and arrange the overall set up, tear down and operation of the snack bar during game days.
c. Keep an inventory of supplies for the snack bar.
d. Help coordinate food for other football & cheer activities of the DOJGE program.
e. Assure all SAC and DOJGE rules and regulations are followed.
f. Other duties as pertains to the office of Snack Bar Coordinator or as directed by the Board.
 
Section 10. Fundraising Coordinator/Sponsorship

a. Assist and advise the Board on all matters relating to the fundraising.
b. Develop and oversee all fundraising activities for the upcoming season.
c. Will coordinate the other vendors for game day such as a coffee vendor, frozen juice vendor, and jewelry vendor.
d. Oversee the solicitation of sponsors for the organization.
e. Establish yearly goals for sponsorship.
f.  Insure DOJGE sponsorship commitments are carried out.
g, Collect Sponsorship donations.
h. Maintain positive working relationships with all sponsors.
i.  Assure all SAC and DOJGE rules and regulations are followed.
j.  Other duties as pertains to the office of Fundraising Coordinator or as directed by the Board.
 
Section 11. Equipment/Field Coordinator

a. Assist and advise the Board on all matters relating to the field usage.
b. Set up, schedule and complete contract with Franklin Elementary and Del Oro High School for all practice field’s and game day fields.
c. Keep the Board apprised of football activities in regards to scheduling and or conflicts of dates.
d. Schedule and complete contract with Del Oro High School for Parent Orientation.
e. Schedule and complete contract with Franklin Elementary for classroom utilization for pre-season PAR training, background checks, and weekly film viewing.
f. Serve as liaison to DOHS football and DOJGE Coach Coordinator.
g. Provide for “on Field” equipment repair & replacement during the season.
h. Provide game day water to players and coaching staff.
i. Set up the home game field, hang sponsor banners in designated area, also responsible for removing banners.
j. Ensure walkie-talkies and head gear are charged and ready for all games for coaching staff.
k. Inventory and store all football equipment at season end.
l.  Send equipment for regular and necessary inspection.
m.Maintain equipment in good working order.
n. Manage the ordering, distribution & return of football uniforms & gear.
o. Provide the Board a budget for proposed football expenses.
p. Orders all Coaches gear including coaches’ shirts and hats.
q. Orders football player’s spirit wear before the season (shirts, shorts, practice jerseys) and distribute to players.
r.  Put together coaches bags for the season.
s.  Secures balls and other necessary equipment for practice and game day.
t.  Assure all SAC and DOJGE rules and regulations are followed.
u. Other duties as pertain to the office of Equipment/Field Coordinator or as directed by the Board.
 
 
Section 12. Registrar/Parent Volunteer Coordinator

a. Assist and advise the Board on all matters relating to the player books.
b. Prepare registration packets prior to the beginning of each season.
c. Coordinate annual registration drive.
d. Compile and maintain all participants’ records for certification.
e. Arrange for certification photos of players and cheerleaders.
f. Maintain the database for the organization.
g. Recruit team parents for each football and cheer team.
h. Acts as liaison to parents and team parents.
i.  Coordinates volunteer activities.
j.  Arrange and administrate over Team Photo Day and action photos.
k. Arrange and administrate over game day parent help at Gate, Snack Bar and other volunteer work shifts.
l.  Update phone calling sheets for the Team Parents.
m. Implements a system for PAR management and print out PAR sheets for all teams.
n. Responsible for updating Orientation pamphlet and having it printed and distributed on Parent Night orientation.
o. Assist/complete the ordering of the year-end trophies and awards.
p. Responsible for advising the Treasurer names of who did not show for their scheduled work shift, so that their hold check is deposited.
q. Assure SAC and DOJGE rules and regulations are followed.
r.  Other duties as pertains to the office of Registrar/Team Parent Coordinator or as directed by the Board.
 
Section 13. Director of Communications/Webmaster

a. Maintain website with information to be communicated to families.
b. Send all communication email messages to families throughout year.
d. Assure all SAC and DOJGE rules and regulations are followed.
e. Other duties as pertains to the Director of Communications or as directed by the Board.

Section 14. Booster/Public Relations Coordinator

a. Assist and advise the Board on all matters relating to marketing
b. Develop and oversee all marketing activities for the upcoming season.
c. Responsible for handling media relations, including notifying the media of association activities of interest to the community.
d. Assure all SAC and DOJGE rules and regulations are followed.
e. Manage the activities, set up and tear down of all Booster activities during practice and game days.
f. Will keep an inventory of merchandise.
g. Will provide the Board a budget for proposed booster expenses.
h. Other duties as pertains to the office of Marketing Coordinator or as directed by the Board.
 
Section 15. Safety Coordinator
 
a. Provide the medical gear and supplies for all Football & Cheer practices/games, home or away.
b. Provide HOME game day medical staff as outlined in SAC rules.
c. Other duties as pertains to the office of Safety Coordinator or as directed by the Board.
 
 
Section 16. Cheer Coordinator

a. Assist Director in all operations of the cheer program.
b. Attend all meetings with Vice President of Cheer.
c. Acts on behalf of Vice President of Cheer in his/her absence.
d. Serve as liaison to the Vice President of Cheer and Board for all Cheer advisory positions (outlined below).
e. Assure all SAC and DOJGE Cheer rules and regulations are followed.
f. Other duties as pertains to the office of Cheer Coordinator or as directed by the Board.
g. Assist in the selection of Head Coach positions for each squad.
h. Collect all coach’s applications, insurance release of liability forms, and schedule/take the badge photos.
